Step 2: Segmenting with Tags

Apply the tag 'Waitlist_Active' to all new entrants. If you have multiple sessions, use specific tags like 'Waitlist_Saturday' or 'Waitlist_Workshop_A'.

Step 3: The Priority Release Workflow

  1. Canceled Ticket: A ticket becomes available in Tixified.
  2. Internal Notification: Keap notifies your team or triggers a 'Waitlist_Release' campaign.
  3. Email Blast: Send an email to the top 20 people on the waitlist with a private booking link.
  4. The Timer: Give them 4 hours to claim the ticket before the next 20 people are notified.

Advanced Strategy: The 'No-Show' Prevention

Send a 'Confirm Attendance' text via Keap 48 hours before the event. If the attendee clicks 'I can't make it,' have an automation instantly void their ticket and notify the next person on the waitlist. This ensures your venue stays at 100% capacity.
