Keap Automated VIP Banquet Seating & Preference Guide

Master high-end event hospitality with an automated system to track meal preferences, seating, and special requests via Keap tags.

Automating the VIP Experience with Keap

High-stakes events like banquets and galas require meticulous attention to detail. This guide provides a step-by-step framework for using Keap to manage VIP logistics without manual spreadsheets.

Phase 1: Custom Field Architecture

To capture granular data, you must first configure your Keap CRM with the following custom fields:

  • Meal Choice: Dropdown (Beef, Salmon, Vegan, Gluten-Free)
  • Table Number: Text/Number
  • Dietary Restrictions: Multi-select or Text Area
  • VIP Liaison: Contact field for assigned staff

The Automation Workflow

Once a VIP ticket is purchased through Tixified, the following Keap sequence should trigger:

  1. Immediate Confirmation: Tag applied: "VIP_Attendee_Current".
  2. Preference Survey: Delay 24 hours. Send an email with a hosted Keap form to collect meal choices.
  3. Reminder Logic: If the form is not submitted within 3 days, trigger a personalized SMS via Keap's web-based check-in features.
  4. Final Data Sync: Once submitted, apply a "Preferences_Captured" tag to stop the reminder sequence.

Exporting for Execution

On the day of the event, use Keap's Advanced Search to filter by "VIP_Attendee_Current". Export the results into a CSV containing the Table Number and Meal Choice fields to provide to your floor staff and catering team. This ensures zero errors during the dinner service.
