HubSpot Onsite Check-in Data Syncing Guide

Master the art of real-time data flow between your ticketing platform and HubSpot CRM for seamless onsite operations.

The Blueprint for Real-Time Attendee Tracking

Data delays during a live event can lead to missed sales opportunities and poor attendee experiences. This guide explains how to configure HubSpot to receive live check-in updates from your ticketing system.

Why Real-Time Syncing Matters

When an attendee scans their badge at the door, their HubSpot Contact record should update immediately. This allows your sales team to know exactly who is in the building and triggers automated internal notifications for high-value prospects.

Step 1: Contact Property Creation

Create a custom HubSpot property titled 'Event Check-in Status' with the following dropdown options:

  • Unregistered
  • Registered - Not Present
  • Checked-In
  • Departed

Step 2: Webhook Configuration

Utilize Tixified's native integration to fire a webhook every time a QR code is scanned. This webhook should map the attendee's email address to the corresponding HubSpot Contact ID to ensure 100% data integrity.

Step 3: Triggering Workflows

Once the status changes to 'Checked-In', trigger a HubSpot Workflow to:

  • Send a 'Welcome to the Event' SMS via HubSpot SMS.
  • Create a Task for the Account Executive to find the contact on the floor.
  • Update the 'Last Event Attended' property for historical reporting.
